Minimum Qualifications: • Degree or Diploma in Business Administration/ Public Management /Facilities/Property Management or equivalent (NQF Level 6 or 7)

Preferred Qualifications: • MBA or Any Relevant/Related NQF Level 8 Qualification recognised by SAQA Minimum Experience: • 5 years Management experience in Corporate Administration/Facilities/Properties/Fleet Management / Administration Key Outputs: Reporting to the Executive Manager: Corporate Services, the appointee will: • Oversee the provision of effective information/ records management systems and support • Provides guidance to the team with regard to best practice information management methodologies • Review specifications related to archiving and monitor compliance to the regulatory framework • Initiate and lead the procurement of leases for office space • Review the specifications for leases • Provide guidance and support during the negotiation process with relevant landlords • Review compliance encompassing Occupational Health and Safety and other regulatory frameworks for buildings • Monitor lease compliance and ensure lease agreements are completed on time and as per the specifications identified • Manage projects relating office renovations • Review project status reports and make recommendations to the Executive Manager • Review specifications for all furniture and equipment required by the organisation • Confirm expenditure is aligned to the approved budget • Monitor contract compliance and ensure agreements are aligned to specifications identified • Manage relationships with service providers and attend to instances which have been escalated by management • Inform the strategy on fleet management, determine the procurement process and monitor adherence to fleet management processes • Keep track of any traffic offences for the various vehicles • Conduct a high-level analysis of the vehicle utilization reports and identify any abnormalities to ensure corrective action is taken • Oversee the management of security services, and its policy framework, equipment and supporting software. Access control, sensors, alarm systems, armed response and security guards • Ensure that any non-compliance is dealt with in the appropriate manner • Compile and timeously submit requested ad hoc business/departmental reports • Research and analyse information that is reported to the business/Executive Committee in order to support organisational goals and decision making • Manage the administration of direct reports through the approval of leave and travel expenses • Conduct performance reviews of subordinates and address areas of non-performance • Identify training needs and development opportunities for direct reports • Monitor the provision of outputs to ensure deliverables are met • Devise strategies to support Performance Management System within the unit • Oversee functioning of relevant committees, e.g. Housing Committee etc. Other requirements needed: • Analysis, problem solving and judgment • Decision Making • Managing Complexity • Planning and Organising • Accountability • Resilience • Customer Service Orientation • Business Performance Management • Organizational Resource Management • Valid unendorsed drivers licence
